What is the process for moving to a paid subscription?

There are three options for advancing your subscription for July 1, 2020 – June 30, 2021:

If you have already submitted a Grant Request Form, you will need to complete the steps below to continue your access:

  1. Within one week of your Grant Request Form submission, you will receive a Grant Award Confirmation Letter that details your grant award and required next steps.
  2. Your Relationship Manager will send a special quote addendum which will show the grant amount, the additional courses, and the additional cost to your program.
  3. You will need to confirm the addendum by June 22 to ensure continued access for your students as of July 1, 2020.
  4. You will receive a single invoice that combines the totals original quote and addendum for payment. Please contact Aquifer’s Staff Accountant if you have questions about your invoice.

Institutional subscriptions provide additional administrative features like access to reporting and the searchable Case Library, user management, and the ability to create custom courses. 

Individual subscriptions provide the same learner-level access that you had as part of your free COVID-19 access.

Aquifer Individual vs. Institutional Subscriptions

To purchase annual individual subscriptions per Aquifer course, instruct your students and faculty users to visit our Subscribe page to complete a credit card purchase for immediate access. This option provides the same learner-level access that you had with the COVID-19 free access.

Aquifer’s 29 free interdisciplinary cases are available free of charge to all teachers and learners. We encourage you to make use of these quality cases on key topics.

What is the process for moving my subscription forward?

There are three options for advancing your 2020-21 subscription:

If you have already submitted the Grant Request Form, you will need to complete the steps below to complete the subscription process.

    1. Within one week of your Grant Request Form submission, you will receive a Grant Award Confirmation Letter that details your grant award, total courses ordered, total cost, and required next steps.
    2. If you have not already, you will need to confirm your original quote online via the link sent as part of your regular Aquifer subscription process. Look for an email from your Relationship Manager with the subject “Action Needed: Aquifer 2020-21 Quote for (Your Program)”.
        1. The grant and additional courses requested will not appear on this subscription renewal quote, as your original quote was produced prior to the development of the grant offer.   
        2. The confirmation of your original subscription quote is necessary as we stretch our business processes beyond our normal operations to meet the high demand for grant support. We apologize for any confusion on this less than ideal–but necessary–step of the process.
        3. If you had submitted your original quote previously, you should skip this step. Your Relationship Manager will send a special quote addendum after you submit your Grant Request Form.
    3. Once your original quote is confirmed, your Relationship Manager will send a special quote addendum, which will show the grant amount, the additional courses, and the additional cost to your program.
    4. You will need to confirm the addendum by June 22 to ensure continued access for your students as of July 1, 2020.

If you would like to continue with your subscription as currently quoted for the 2020-21 subscription year without upgrading to a full course library, simply confirm the quote you already received by June 1. Confirmation is completed online via the link sent as part of your regular Aquifer subscription process. Look for an email from your Relationship Manager with the subject “Action Needed: Aquifer 2020-21 Quote for (Your Program)”.

If you have already confirmed your 2020-21 quote, no action is needed.

More Frequently Asked Questions

Grant amounts are unique to each program, and are based on your program enrollment and price tier and the number of courses in your current subscription.

Existing subscribers who receive our grant award offer email, and agree to subscribe to any of the three full course library options (all Aquifer courses, all WISE courses, or all Aquifer and WISE Courses) will be provided the grant amount offered.

Your total cost for the 2020-21 subscription year will appear on your Grant Confirmation Letter, along with your final course order. 

Current Subscribers: Your total cost can be determined by adding the amount of your original quote with the “total additional cost” figure for the grant option you selected.

New/Non-subscribers: The “Total Cost” columns on your Grant and Subscription Options email provide the total costs to your program by Aquifer, WISE, and CARE courses. If you are subscribing to a combination of Aquifer, WISE, and CARE courses, please add the “Total Cost” from your selected rows to calculate the total cost to your program.

No, this grant program is intended to support programs in maintaining access to the full suite of Aquifer courses to provide the broadest possible curricular support. Grant support is available only with subscription to the full library of Aquifer’s five Signature courses (Aquifer Family Medicine, Geriatrics, Internal Medicine, Radiology, and Pediatrics) and/or both WISE-MD (Surgery) and WISE-OnCall (Readiness for Practice).

Aquifer and WISE both offer regular bundling discounts for programs that purchase multiple courses billed on a single invoice. These discounts will continue to be available to all programs, regardless of whether or not they are utilizing grant support.

If you have already confirmed your formal quote and do not plan to apply for a grant, no action is necessary. Your renewal will be processed in the usual manner.

If you have already confirmed your quote and decide to request a grant, please complete the Grant Request Form. Your Relationship Manager will review your request and create and send a quote addendum for you to officially approve. If any questions arise, we will reach out to you.

If you have already paid your invoice and would like to take advantage of a grant, please complete the Grant Request Form. Your Relationship Manager will review your request and create and send an addendum for you to officially approve. If there are any questions, your Relationship Manager will be in touch to work through any issues.

If additional funds are owed:
After you approve the addendum, you will receive an invoice for the remaining balance.

If your program is owed a rebate: In some cases, grant awards may result in a credit for your program. After you approve the addendum for your order, Aquifer will issue rebates within 60 days.  Programs may also elect to have the difference between what they have paid and their revised grant amount applied to their FY 2022 invoice.

No, because the Aquifer Addiction course is in transition and is not included in the grant offer. As of July 1, Aquifer Addiction will be hosted on the NYU Grossman School of Medicine learning platform where it will be renamed CARE.  Aquifer will continue to distribute CARE on behalf of Hazelden Betty Ford Foundation (HBFF) and NYU Grossman School of Medicine to institutions, and the price for an institutional subscription will remain $5000/year regardless of institution size. If you decide to take advantage of an Aquifer Full Course Library grant:

Courses Page

The Aquifer COVID-19 Response course was a special bundle of cases created in order to quickly provision cases to programs. This course will disappear from your course page on July 1. Instead, you will see the individual Aquifer signature courses (Aquifer Family Medicine, Geriatrics, Internal Medicine, Pediatrics, and Radiology) on your courses page. 

Custom Courses

There will be no changes to your custom courses. Any custom courses you created with cases from the Aquifer COVID-19 Response course will still appear. WISE courses and CARE cases cannot be added to custom courses.

Reporting

Any student work done in the Aquifer COVID-19 Response course will still be tracked and visible in the related Aquifer Signature course Course Report, as well as in custom courses that include the relevant cases.

Case Library

The cases available to you in the case library will not change if you are transitioning from the Aquifer COVID-19 Response course to the full Aquifer course library. WISE courses and CARE are not available in the case library.
